Change Request Nbr.

The unique number that identifies this change request’s place among change requests within the project. The system assigns this number sequentially, starting from 0001. Duplicate numbers within the project are not allowed.

Before a project is selected in the Project box, this box is read-only and contains N/A.

You can edit this number only if the change request has the On Hold status.

Common Task for Change Request

The common task that the system uses as a template for creating a project task for the change request.

By default, the system inserts the common task selected in the Common Task for Change Request box on the General tab of the Projects Preferences (PM101000) form.

You can select another common task or clear the box. If the box is empty, the system uses the project's default task settings for the change request's tasks.

You can change the specified number if the change request has the On Hold status.

The box becomes read-only after the system creates a corresponding project task.

Change Request Task Nbr.

The unique identifier of the project task that the system will create for the selected change request. The structure of the identifier is defined by the PROTASK segmented key on the Segmented Keys (CS202000) form. Duplicate numbers of change request tasks within the project are not allowed.

Unit Price Source

The source that determines the unit price of estimation lines in the change request, which can be either of the following:

  • Unit Cost and Markups: The unit price is calculated based on the unit cost and price markup as follows:
    Unit Price = Unit Cost + (Unit Cost × Price Markup (%) / 100)
  • Sales Prices: The unit price is copied from the sales price of the selected inventory item. The system:
    1. Searches for the sales price on the Sales Prices (AR202000) form. The price must be effective on the date specified in the Change Date box of the current form.
    2. If no applicable sales price is found, uses the default price specified in the Default Price box on the Price/Cost tab of the Stock Items (IN202500) or Non-Stock Items (IN202000) form.
Tip: For more details on how the price is selected, see Sales Prices: Rules of Price Selection.

When you create a change request, the system inserts the unit price source specified for the selected project. You can change the option if the change request has the On Hold status.

If Sales Prices is selected:

  • The Markup Total box is hidden and excluded from the Price Total calculation.
  • The Price Markup (%) and Line Markup (%) columns are hidden.

Price Total The sum of the Line Total and Markup Total.
Tax Total

The total tax amount of the change request. The system calculates this amount as the sum of the Tax Amount values on the Taxes tab.

  • Modify the Change Date
  • Add, modify, or delete an estimation or markup line
  • Change an amount or tax category in an estimation or markup line
  • Change the tax zone, tax calculation mode, or tax lines on the Taxes tab

For external tax calculation, this amount is updated when you save the change request, remove it from hold, create a change order for this change request or recalculate external taxes.

Change Total

The total amount of the change request, including taxes. The system calculates this amount as follows:

  • If only exclusive taxes apply or the Net option is selected in the Tax Calculation Mode box: Price Total + Tax Total
  • If only inclusive taxes apply or the Gross option is selected in the Tax Calculation Mode box: Price Total
  • If both inclusive and exclusive taxes apply: Price Total plus the exclusive tax amounts

Table 2. Table Toolbar.

The table toolbar includes the buttons described below.

Button Description
Add Commitments

Opens the Add Commitments dialog box, in which you can select one or multiple lines of existing purchase orders associated with the project and add them as estimation lines.

If the Construction feature is enabled on the Enable/Disable Features (CS100000) form, you can also select lines of existing subcontracts.

Table 3. Table Columns
Column Description
Project Task

The project task that is associated with the cost part of the estimation line.

If you add a new line and the project has the default project task, this task is automatically populated in the column.

Account Group

The expense account group that is associated with the cost part of the estimation line.

You can select an account group of the Expense type, or an account group of the Off-Balance type for which the Expense check box is selected on the Account Groups (PM201000) form.

If more than one account group of the Expense type is configured and you track the cost budget at the item level, you can use a project task or an item as the source of the account group. When you add the line, the system inserts an account group based on the first applicable source:

  • If you select a project task first and its default expense account has an account group, this account group is inserted.
  • If you select an item first and its COGS account has an account group, this account group is inserted.
Attention: The system inserts the default account group only when this column is empty. You can override the default settings.

For an inventory item selected in the line, the system automatically inserts the account group as follows:

  • If the line contains a non-stock item, the system inserts the account group mapped to the account specified in the Expense Account box on the GL Accounts tab of the Non-Stock Items (IN202000) form.
  • If the line contains a stock item, the system inserts the account group mapped to the account specified in the COGS Account box on the GL Accounts tab of the Stock Items (IN202500) form.

If you add the line and select a project task, the system inserts the account group of the default expense account of the project task.

Cost Code

The cost code associated with the cost part of the estimation line.

This column is shown if the Cost Codes feature is enabled on the Enable/Disable Features (CS100000) form.

Inventory ID

The identifier of the stock or non-stock item associated with the cost part of the estimation line.

If you specify no inventory item, for the change order line created based on this estimation line, the system uses the empty item code, which is specified on the Projects Preferences (PM101000) form).

Description The description of the estimation line.
Quantity The quantity of the estimation line.
UOM

The unit of measure associated with the cost part of the estimation line. If an inventory item is selected in the Inventory ID column, the system automatically inserts the base unit of measure of this inventory item. You can change it to another UOM available for the item.

If the Copy Settings on Budget Line Creation From box on the Projects Preferences (PM101000) form is set to Source Document, the system copies this UOM to a new project budget line if the applicable budget level is set to Task or Task and Cost Code.

If the budget level is set to Task and Item or Task, Item, and Cost Code, the system uses the base UOM of the inventory item instead. The same UOM population rules apply when change request lines are added to a change order.

If the UOM of this line cannot be converted to the UOM of another line with the same budget key, the system displays a warning, but you can save a change request.

Unit Cost

The cost of the estimation line.

By default, the system populates this column with the cost of the inventory item selected in the budget line. For more details on how the system selects the cost, see Project Budget: Unit Rate in Budget Lines.

If the Multicurrency Projects feature is enabled on the Enable/Disable Features (CS100000) form, the system converts the retrieved unit cost to the project currency by using the exchange rate of the project.

You can enter the cost manually or change the default cost.

Ext. Cost

The extended cost of the estimation line, which the system calculates by multiplying the Quantity and Unit Cost values of the line.

Price Markup (%)

The markup percentage that the system uses to calculate the Unit Price based on the Ext. Cost.

By default, the system retrieves the following markup depending on the type of the revenue inventory item:

  • For a stock item: The Markup % of the item from the Price/Cost tab of the Stock Items (IN202500) form
  • For a non-stock item: The Markup % of the item from the Price/Cost tab of the Non-Stock Items (IN202000) form

If the default item markup is 0, the system populates the markup with the Default Price Markup (%) specified on the General tab of the Projects Preferences (PM101000) form.

Revenue Task

The project task that is associated with the revenue part of the estimation line.

If you add a new line and the project has the default project task, this task is automatically populated in the column.

Revenue Account Group

The income account group that is associated with the revenue part of the estimation line.

By default, the system populates the column with the Default Revenue Account Group of the expense account group of the estimation line, which is specified in the Summary area of the Account Groups (PM201000) form. The value can be overridden.

If only one account group of the Income type is configured in the system, the system inserts it by default.

If more than one account group of the Income type is configured and you track the revenue budget at the item level, you can use a project task or an item as the source of the account group. When you add the line, the system inserts the account group based on the first applicable source:

  • If you select a revenue task first and its default sales account has an account group, this account group is inserted.
  • If you select a revenue item first and its sales account has an account group, this account group is inserted.

If you add the line and select a project task, the system inserts account group of the default sales account of the revenue project task.

Attention: The system inserts the default account group only when this column is empty. You can override the default settings.
Revenue Inventory ID

The identifier of the stock or non-stock item associated with the revenue part of the estimation line.

If you specify no inventory item, for the change order line created based on this estimation line, the system uses the empty item code, which is specified in the Empty Item Code box on the Projects Preferences (PM101000) form.

This column is shown if Task and Item is selected as the Revenue Budget Level of the project on the Summary tab of the Projects (PM301000) form.

Revenue Code

The cost code associated with the revenue part of the estimation line.

If you specify no cost code, for the change order line created based on this estimation line, the system uses the default cost code specified on the Cost Codes (PM209500) form.

This column is shown if the Cost Codes feature is enabled on the Enable/Disable Features (CS100000) form and Task and Cost Code is selected as the Revenue Budget Level of the project on the Summary tab of the Projects (PM301000) form.

Unit Price
The price of the estimation line, which the system calculates by using the following formula.
Unit Price = Unit Cost + Unit Cost * Price Markup (%) / 100

If the Multicurrency Projects feature is enabled on the Enable/Disable Features (CS100000) form, the system converts the retrieved unit price to the project currency by using the exchange rate of the project.

You can enter this price manually or change the default price. If you have entered the unit price manually and saved the change request and you change the change request date, this price will not be automatically updated by the system to the correct price for the new change request date.

Ext. Price

The extended price for the estimation line, which the system calculates by multiplying the Quantity and Unit Price values for the line.

If the estimation line has an account group selected in the Revenue Account Group column or a project task selected in the Revenue Task column, the Ext. Price cannot be 0.

Line Markup (%)

The line markup percentage of the estimation line.

By default, the system populates the column with the Default Line Markup (%) of the expense account group of the estimation line, which is specified on the Change Request Settings tab of the Account Groups (PM201000) form.

The vendor associated with the estimation line.

The list of vendors available for selection may be limited based on the role or roles assigned to the user account to which you are signed in if the Customer and Vendor Visibility Restriction feature is enabled on the Enable/Disable Features (CS100000) form. In this case, the Restrict Visibility To box appears on the Financial tab of the Vendors (AP303000) form. With the feature enabled, a vendor is available for selection if one of the following is true:
  • The Restrict Visibility To box is empty for the vendor—that is, the vendor’s visibility is not restricted.
  • A branch, company, or a company group is specified in the Restrict Visibility To box for the vendor, and your user account has the role specified in the Access Role box of the Configuration Settings section of one of the following: the Branch Details tab of the Branches (CS102000) form for the selected branch, or the Company Details tab of the Companies (CS101500) form for the selected company or a company within the company group.
Create Commitment

A check box that indicates (if selected) that the system produces a commitment line based on this estimation line when the change request is linked to a change order.

If you select a commitment number without selecting a commitment line number, New Line is inserted in the Status column. A new line will be added to the selected commitment document when the related change order is released.

The column is available for editing only if the change request has the On Hold status. If the Create Commitment check box is cleared for the line, the column is empty and unavailable for editing.

The column is shown if the Construction feature is enabled on the Enable/Disable Features (CS100000) form.

PO Nbr.

The reference number of the existing purchase order associated with the estimation line. You can select a purchase order of the Normal or Project Drop-Ship type. Documents with the On Hold, Pending Approval, or Rejected status aren't available for selection.

If a vendor is specified in the line, only documents associated with that vendor are available for selection. You can click the selected reference number to open the document on the Purchase Orders (PO301000) or Subcontracts (SC301000) form in a new browser tab.
